Undergraduate Advising Handbook
Advisor Access to Student RecordsAll faculty and staff with advising responsibilities may view the academic record and run degree evaluations for all enrolled students. This allows any advisor to meet with and advise any student on campus, however there are limits. To comply with FERPA regulations, the advisor must have legitimate educational interest to access a student's records. In simple terms, the advisor must be meeting with the student or preparing for an advising meeting to have a legitimate need to access their record. In all cases, the advisor remain the custodian of the student's record and may not disclose any information to third parties, including the student's parents. If you are not certain of the FERPA guidelines and how they pertain to you, visit the FERPA information page in the faculty section of the Registrar's Office web site. The key to being FERPA compliant is to always treat a student's record as though the record was your own. If you have any questions or have problems using this new Fish'R'Net functionality, contact the College Registrar, Julia Thomas at jthomas@sjfc.edu. To find the names of your advisees:
